Prepared and Packaged Foods

 

Urban GreenPrepared and packaged foods are sold at all four farmers markets in Santa Monica. Prepared foods include foods prepared onsite for consumption such as roasted corn, tamales, pancakes, etc.  Processed foods are prepared off site and are typically packaged and brought to the market for sale. These foods include pies, bread, confections, and granola, just to name a few.  Prepared and pre-packaged food vendors may apply annually during the month of July, with their desired menu, through a Request for Proposal (RFP) process. The square footage allocated for any given RFP may change from year to year. RFPs are conducted annually for one third of allocated spaces with three year contracts awarded. Market management determines the number and allocation of stall spaces available, which are subject to change with each RFP.  Please note:  The Santa Monica Farmers Markets require all prepared and packaged food vendors to produce their products in a Certified Commercial Kitchen and do not accept Cottage Food Operations.

Rates:  $75 - $175 per market day.

How to Apply

Step 1

Please click here to register with the City's PlanetBids system.  Register under code 96138 - "Food Preparation Services."

Step 2

Wait for the application period to open.  Once registered, you will be automatically notified by email when the application period opens (tentatively September 2013 for the Wednesday Market and April 2014 for all others). While waiting, take some time to review the Prepared and Packaged Food FAQs and the Prepared Food Applicant Evaluation Criteria to determine how competitive your business will be. Find ways to modify your business to be a more competitive applicant based on the selection criteria.  Keep in mind, we receive approximately 3 -5 applications for each available space so it's a highly competitive process.

Step 3

When you receive the email notification from PlanetBids, follow the links in the email to download the application materials and information.

Step 4

Attend a pre-application meeting for a brief presentation, and meet with a Farmers Market staff person who can answer questions about the evaluation and selection process.

Step 5

Complete and turn in your complete application by the indicated deadline - late or incomplete applications are not accepted.  Be sure to utilize the application checklist to ensure you have all the necessary components.

Documentation

  • City of Santa Monica Business License (to be purchased once you are selected to participate)
  • Annual Health Permit for processing facility.
  • Board of Equalization Permit (for taxable products).
  • Temporary Field Event Health Permit issued by the Los Angeles County Department of Health.  (Issued after vendor is accepted and renewable quarterly)

What else do I need to know?

All Santa Monica Farmers Markets comply with the City wide Non-Recyclable Food Service Container Ban and additionally require vendors to use compostable cutlery and straws.

Paperwork

Once selected, each Farmers Market vendor is required to sign a participation agreement and acknowledging receipt of the Farmers Market Rules and Regulations as well as sign a hold harmless agreement.
